Events and event planning are evolving into new, dynamic formats. Old models are falling away and technology is giving both planners and event participants an opportunity to do tasks in simple ways to minimize the stress of paper work. Below are some apps that all event managers/planners should know about
#1. Pinterest
This is a web and mobile application that allows photo sharing. Users can upload, save, sort, and manage images and videos. You can get so much inspiration from the thousands of pictures and videos that other users upload. It is helpful for getting better ideas for decorations, design and themes.
#2. Evernote
Is a cross- platform app designed for taking notes, organizing, and archiving. Evernote will give you all the help you need in events management. It allows you to take notes, make to-do lists and voice memos, as well as syncing up the rest of your reminders to the same app. Evernote is exactly what you need to keep on top of the long list of things you will need to remember when planning an event. This app is available in paid and free (restricted) versions.
#3. Dropbox
Dropbox allows users to create a special folder on their computers and then synchronizes so that it appears to be the same folder and have access to them from the cloud. As an event planner, this is a great way to share files with clients and make sure you have access to everything you need wherever you are. However, since it can be easily hacked, it is advised that you do not to save confidential documents on it. At the very least, make sure that you have backup copies elsewhere.
#4. Super Planner
Includes a variety of planning tools and tips in one easily navigable app. The most interesting thing here though, is in the conversions. Super Planner lets you easily calculate venue/room capacity, food and beverage counts, and the number of staff you will need to have on hand, projection calculator etc.
#5. Boomset
This is an app that searches and checks-in guests online & offline as information is synced in real time. It allows you to upload your excel spreadsheets to create your guest list for your event. No paper, no welcome book, no paper agendas — everything digital. It also allows instant messaging for communication with guests.
#5. Purple trail
If you are not satisfied with the invitation cards you see around then purple trail is the app you need. This is an app that allows all its users to design their own invitations (include their own photos, texts, shape of the card, theme of the card etc.), print and send them.
#6. Asana
Planning an event can be hard and stressful, so you cannot do it all alone. Asana is the easiest way for teams to track their work and get results. View and organize your task list every time you open Asana, Add tasks to projects, to break down your work and see your full list of teams and projects
Thanks to technology event planners can be saved a lot of time and stress. Take advantage of mobile technology to stay organized when planning an event.
