The job of every event planner is to meet up to their client’s expectations, help makes the event a success and satisfies each and every guest that will be present at the event. One of the important element is making sure all the attendees have ultimate access to every service offered at the event, despite physical or mental disability. These helpful means below will give you the main guidelines you need to make sure all your event allows all the attendees to have access to enjoy and get the best out of every event you organise.
#1. Location Of The Event
When finding the site where the event will hold, you will need to do a thorough on-site check to know how spacious the location is to accommodate the attendees. Take note of any features that will be needed for clients that are disabled or have a certain disability that can limit them from fully experiencing the event. Ensure there is ease of access when entering and leaving the location for every individual present at the event, whether physically disable or not. Make sure information is provided on where to find the restroom, hall, garden, etc. to keep others from getting lost or end in the wrong place. Put display icons that will help direct the attendees to find their way around.
#2. Accommodation And Means Of Access
There is nothing more frustrating than have to walk a flight of stairs to get to the floor where the event is being held. Prior to the date of the event, double check that the elevators or escalator are in good condition and working properly with no technicalities that will arise on the day of the event. Get the staff to assist the attendees to operate the mechanic equipment and machinery if there will be a need for that. Provide proper lighting to help those with low vision or visually impaired attendees to be able to move around without walking into a wall.
#3. Provide Support To Attendees
Be able to provide the guests with transport for those travelling from far, to be able to transport them from their pickup point to their destination. If there is any need for extra equipment to be provided for the use of the guests, check with the staff to confirm and arrange everything.
#4. Provision Of Food And Drinks
When catering for an event, you will have to keep the guest in mind, to know what they like, their specialty, allergies, and any other extra add-ons they would love having. When serving the buffet, ensure everyone is served, consider having seating functions to place the food for disable people that won’t be able to move around due to one thing or the other.
